Job Responsibilities
The Operations and Maintenance Department is responsible for supervision, repair, and operation of outdoor environments, buildings, and installations over time with good technical status and satisfied customers.
This is achieved through close collaboration with customers, other departments within the administration, and other organizations in the city. The department is responsible for conducting inspections required by authorities and contributes to the development of energy-saving measures. We carry out the assignments requested by our customers.
Your Tasks:
We are now looking for an administrator for a fixed-term employment of approximately 6 months for our Office Services unit. Office Services is a unit that serves several of our own premises. Our cleaners keep the premises tidy and clean, and our caretakers handle everything from goods reception to mail management.
As an administrator, you will work on behalf of the unit manager. The assignment involves providing administrative support to the manager as well as the unit's overall activities. You will also coordinate the unit's work in specific areas.
You will support the department in:
- Document and information management.
- Orders, purchases, and invoice management.
- Contact person for suppliers and customers.
- Assisting employees with administration, orders, etc.
- Proofreading documents and presentations.
- Planning, booking, and coordinating activities, events, etc.
- Minutes and notes taking.
- Record keeping and release of public documents may occur.
- Performing assignments and reporting issues in our premises based on, for example, work environment rounds.
- Coordination of document management, information management, and purchasing.
The job also involves some operational work, such as receiving moving companies in preparation for the administration's move to new premises.
Qualifications
We are looking for someone who has:
- A minimum of a high school education and experience in qualified administrative work, preferably as an administrator or coordinator.
- Experience in producing information/materials and is accustomed to supplier and customer contacts.
- Very good computer skills and works effortlessly in Microsoft 365.
- Ability to communicate fluently in spoken and written Swedish.
- Experience working in Proceedo is also an advantage.
As a person, you are structured, meticulous, and have a service-oriented approach. You are responsible, communicative, and enjoy collaborating with others.
